Privacy & Cookie Policy

This policy explains how J700 Group collects, uses, stores and protects personal data and how cookies and similar technologies are used on our website.

1. Introduction

J700 Group Limited is committed to safeguarding personal data and being transparent about how it is used. This Privacy & Cookie Policy explains how we collect, use, store and protect personal data in connection with our website, enquiries and services, and how we use cookies and similar technologies.

For the purposes described in this policy, the data controller is J700 Group Limited, company number 09424762, of Prinny Mill Business Centre, 68 Blackburn Road, Haslingden, Rossendale, Lancashire, BB4 5HL.

2. Personal data we collect

We collect limited personal data where it is needed to respond to enquiries, provide services, communicate with business contacts, operate our website and meet our legal and operational responsibilities. Depending on how you interact with us, this may include:

  • Contact information: your name, work email address, telephone number, job title and company or organisation details.
  • Enquiry and service information: information you provide through website forms, telephone calls, emails, meetings, referrals, quotations, proposals, IT support requests or consultations, including information about business technology requirements.
  • Website usage information: technical information such as IP address, browser type, device information, page and campaign context where collected through necessary website functions or optional analytics.
  • Marketing information: records of business interests, communications, meaningful engagement, objections, unsubscribe requests and the minimum information needed to maintain suppression records.
  • Call information: telephone call recordings where calls are recorded, together with associated call details.

Please do not provide unnecessary sensitive personal data through general enquiry channels.

3. How we use personal data

J700 Group may use personal data to:

  • respond to enquiries and requests for information;
  • assess requirements, prepare quotations or proposals, and provide or support contracted services;
  • maintain accurate business, service and security records;
  • communicate with existing customers and relevant business contacts;
  • send proportionate business-to-business marketing where permitted by applicable law;
  • operate, secure and improve the website and, where enabled and consented to as required, measure website use;
  • establish, exercise or defend legal claims, resolve disputes, prevent misuse and meet legal or regulatory obligations.

Where J700 Group relies on legitimate interests for business-to-business marketing, it considers whether the use is necessary and proportionate and balances its interests against the rights, reasonable expectations and interests of the individual. You can object to direct marketing at any time.

For more information about how we use business contact data for direct marketing, see our GDPR Marketing Notice.

4. Sources of business contact information

Business contact information may be obtained directly from you, from existing customer and CRM records, website or business enquiries, referrals, Companies House, LinkedIn, and other publicly available business information where appropriate.

J700 Group does not currently state that it routinely purchases marketing lists or uses general third-party data brokers. Where named business contact information is obtained from a public source rather than directly from the individual, J700 Group remains responsible for providing appropriate transparency and respecting the right to object.

5. Sharing and location of processing

J700 Group does not sell personal data or share it with third parties for those third parties' own marketing purposes. Personal data may be made available to authorised personnel and to service providers where this is necessary to operate systems, provide services, maintain security or meet legal obligations. Access must be limited to what is required for the relevant purpose.

J700 Group stores and processes personal data within the United Kingdom using systems and service providers configured for UK-based data storage and processing.

If a future service introduces international processing or transfers, this policy must be reviewed before or when that service becomes operational.

6. Cookies and similar technologies

Cookies and browser storage are used to operate website functions and remember choices. The categories available through the website's cookie-preference controls are:

  • Necessary: required for website operation, security, consent preferences and other essential functions. These cannot be disabled through the site's preference controls.
  • Analytics: optional technologies used to understand website use and improve content and services. The current site provides consent-controlled first-party analytics capability. Optional analytics must not activate unless the relevant consent and configuration requirements are met.
  • Marketing: marketing or advertising cookies and similar technologies may be used where these have been enabled on the website. Marketing and advertising tags are not currently active. Such technologies will not be activated unless the appropriate consent has been obtained where required.

You can accept or reject optional categories, save individual preferences and reopen the cookie-preference controls to change your decision. Withdrawing consent stops future optional collection through the site where the technology is controlled by that preference.

Before any advertising, conversion or remarketing provider is activated, J700 Group must review this policy, the cookie information, provider and purpose disclosures, retention information and the cookie manager so they accurately describe the technology in use.

7. Telephone call recording

Telephone calls with J700 Group may be recorded for legitimate business purposes such as service quality, training, dispute resolution, security and maintaining accurate records where applicable.

Access to recordings is restricted to authorised personnel. Recordings are retained for 30 days and then deleted in accordance with J700 Group's retention process, unless there is a specific lawful reason requiring a particular recording to be retained for longer, such as a legal, security or dispute-related requirement.

Your data-protection rights apply to personal data contained in call recordings. To make a request, contact J700 Group using the details below.

8. Retention

J700 Group keeps personal data only for as long as it is needed for the purpose for which it is held and for any applicable legal, contractual, accounting, security or operational requirement. Confirmed retention rules include:

RecordNormal retentionAction or exception
Telephone call recordings30 daysMay be retained longer where specifically required for a legitimate legal, security or dispute purpose.
Marketing prospects who have not become customersNormally 24 months from the last meaningful engagementReview, delete or anonymise when no longer necessary. Meaningful engagement may include an enquiry, reply, sales conversation, meeting, quotation, proposal, request for information or other demonstrable business interaction. Automated email delivery or opening alone does not automatically restart the full period.
Marketing suppression recordsAs long as reasonably necessary to honour the objectionKeep only the minimum information needed to prevent future marketing contact. Suppression records are not active marketing data.
Active customer and service recordsAccording to contractual, legal, accounting, support, security and operational requirementsThe 24-month prospect rule does not automatically apply to active customer records.

At or before the end of the normal prospect-retention period, J700 Group will review whether there remains a genuine business reason to retain the record, delete or anonymise prospect data that is no longer necessary, and retain only information required for another lawful purpose.

9. How we protect personal data

J700 Group uses technical and organisational measures designed to protect personal data against unauthorised access, loss, misuse or alteration. These measures include encryption where appropriate, access controls, restricted access to call recordings and other records, secure systems and periodic review of security arrangements.

No system can guarantee absolute security. J700 Group reviews its safeguards and updates them where needed.

10. Your data-protection rights

Depending on the circumstances, UK data-protection law may give you rights to:

  • request access to personal data held about you;
  • ask for inaccurate or incomplete personal data to be corrected;
  • ask for personal data to be erased where the relevant conditions apply;
  • ask for processing to be restricted;
  • object to processing based on legitimate interests;
  • object to direct marketing at any time;
  • request data portability where applicable; and
  • withdraw consent where processing relies on consent, without affecting earlier lawful processing.

J700 Group may need to confirm your identity before responding to a rights request. If you unsubscribe or object to marketing, J700 Group may retain a minimal suppression record so that the objection continues to be honoured.
